How Andre “Autocorrects” (Some) Service Code Mistakes in Eaglesoft Using Smart Codes

HOW ANDRE “AUTOCORRECTS” (SOME) SERVICE CODE MISTAKES IN EAGLESOFT (SMART CODES) So, the Patient is scheduled for a DO Composite on #18.  The DO changes to a DOL.  The great thing is, you can add the L to the existing DO and the code D2392 magically changes to a D2393.  How?  Because the Smart Code preference is selected in the Chart Setup of the code. Magic!

To setup Smart Codes

  1. Go to List>Service Code List

  2. Edit the Anterior Once Surface Composite Code.

  3. Select Chart Setup

  4. Select Use Smart Codes for Surface Intervals.

  5. Then OK. DON'T try to add the other surface Service Codes YET.

  6. Edit the other Anterior Composite Codes until you’ve done this for all 4 codes.

  7. Go back to the Once Surface Composite Code, edit and add the codes for each of the 1, 2, 3, 4 and 5+ surfaces

  8. Repeat the process for the following code sets:

  • Anterior Composite Codes

  • Posterior Composite Codes

  • Amalgam Codes - even if you don’t place amalgam, you can use this for charting.

  • Root Canal Therapy - if you do RCTs or not

  • Full Dentures

  • Partial Dentures

When you have completed all your Smart Codes, go to

File>Preferences and make sure the Use Smart Codes on Walkout & Treatment Plans.

Using Smart Codes also allows you to use a single code for your Quick Picks.

One Quick Pick for 4 Anterior Composites, one for 4 Posterior Composites, Once for Amalgams, One for Root Canals and under your Full and Partial Denture Quick Picks, you will only need to include Uppers (by selecting lower teeth in the chart the code will change to the lower codes).

Smart Codes will NOT correct mistakenly using an Anterior code on a Posterior tooth. Yes, there are competitive software that can do this, but those same softwares can incorrectly code based on surfaces.  This is one of those situations where (just like) a user has to pick an Adult Prophy vs a Child Prophy. 2 BWs vs 4 BWs. Then they have to pick a Posterior Composite vs an Anterior Composite. Smart Codes “should” understand these differences BUT the user knows this limitation and still made the mistake. If you spill coffee on a white shirt there is stain remover but, that doesn't mean you're not careful next time drinking coffee.

Here's is a tricky situation for Smart Codes: An anterior restoration involving the incisal ANGLE (not Edge) should be considered D2335.  This would include anterior DIL or MIL restorations. These restorations would benefit from the use of an Admin Code so that they do NOT convert coding.  Eaglesoft’s Smart Codes (as well as Dentrix and Easy Dental’s code change) will incorrectly convert a DIL on #9 to D2332 where D2335 is more appropriate. I have suggested to offices that creating a I2335 for these procedure might be a big help.
