How Andre Adds A Photo ID into Eaglesoft

Patient photos are an important part of my workflow. Knowing who a patient is when they are in the reception area is as important as it is to identify the Patient for insurance or collections. To make this easier, I began to scan photo ID cards into Eaglesoft and tagging them as Patient Photo in Eaglesoft Advanced Imaging. This also links the photo to be available to “pop up” when you hover over the appointment on the schedule.

To do this, I created an Image template (just like creating a template for Bitewings). That Image Template has 3 spots. One for Photo ID (front), one for Insurance card (front), and one for Insurance card (back) (See picture for details).

An important part of this setup is to make sure the template connects the Photo ID to the Document Group “Patient Photo”. That way when you save the Photo ID it will become the Patient Photo.

Many Eaglesoft users who have adopted this method have gone a step further and made a four image template and in the second “box” scanned a cropped version of the Photo ID using just the picture. To do this you:

1) Double Click on an image to go into "edit" mode

2) Go to Tools and Region Selector

3) Draw a "box" around the section you want to "zoom" to

4) Click Image>Crop

Of course, for children who may not have a Photo ID you can use a web cam or camera to capture a Photo into the first box of the Template.

If the Patient Photo is not showing in the Appointment pop-up, do the following:
From Schedule: Tools>Setup Items and make sure that the Show Patient Photo on popup is checked (see pic) Actually BOTH these items.

There are great Photo ID scanner options available like the Amibir Technology PS667 which retails for about $199 on Amazon.

Remember that if you initially scan a Photo ID and subsequently take a Patient Photo, the most recently taken photo will become the Patient Photo.

WARNING: When it comes to Photo IDs, Do NOT scan the BACK of a Military ID (Uniformed Service ID card (USID)).  The Department of Defense prohibits the scanning or copying of the back of the card. I would, at all costs, avoid scanning Military IDs.

The other option is to use a “Web Cam”.  Not an option I recommend, but others have. These are typically USB attached camera that can be directly integrated into Eaglesoft. There are several models of Logitech Webcams that Fielders have recommended.

From the Practice Management screen:

1.  File>Preferences>Xray.  In the Template Default section, using the drop down, change the Video Template to I/O Cam.

2.  Click the Video button and make sure the Capture Card is Standard Windows Driver Model Device and the Default Device is your Webcam.

3.  OK to save Preference settings.

4.  Right click on the Toolbar>Customize>Add the Video Images Icon.  Drag the icon up or down to select where you want it on the toolbar. Close to save setting. Now you will have a quick access icon for adding a Patient Photo.

To capture a picture from the Practice Management Screen:

1.  Single Left Click the Video Images icon.

2.  Select the Patient for the photo.

3.  Click Freeze

4.  Click Save

5.  At the bottom of the screen change the Document Group to Patient Photo

6.  Click Save

To capture a picture from the OnSchedule Screen:

1.  Single Left Click the Patient appointment block

2.  Single Left Click the Imaging icon

3.  Click New Exam

4.  Click Patient Photo mount

5.  Right click in the blue photo box and select Acquire from Video Capture

6.  Click Freeze

7.  Click Save

8.  At the bottom of the screen change the Document Group to Patient Photo

9.  Click Save
