How Andre Sets Up Admin Codes in Eaglesoft - Adding In-Office “Administrative” Codes & How To Better Use Them

Are there services you do every day that you have been posting as D9999? Why not create a code for it? Say you are Delivering a Denture or Inserting a Crown (very important that you differentiate the two). When I set up a practice, I suggest that offices create "Admin Codes" for just about everything.

BUT wait! I'm sure you're going to say... Hey Andre! We already have a code called "Ins" that you created. Great but, here are my suggestions:

IF you are going to create Service Codes in Eaglesoft, create a logical protocol to do so and they should be tied to the ADA Code categories and Service Types. Remember that a Service Code is an Internal (in-office) code that represents a ADA Code or a procedure/service not described in an ADA Code or inclusive of a ADA Code.

Example of Admin Codes used to post treatment performed that would in inclusive to the denture codes but that describe a visit.

Service Code D5110 Ada Code D5110 Denture – Upper

Service Code D5120 Ada Code D5120 Denture – Lower

Service Code A5993 Ada Code D5999 Denture/Partial - Impression Secondary

Service Code A5994 Ada Code D5999 Denture/Partial - Impression Hydro

Service Code A5995 Ada Code D5999 Denture/Partial - Vertical Dimension

Service Code A5996 Ada Code D5999 Denture/Partial - Wax Bite/Blocks

Service Code A5997 Ada Code D5999 Denture/Partial - Try-In

Service Code A5998 Ada Code D5999 Denture/Partial - Delivery

Service Code A5410 Ada Code D5410 Denture - Adjustment - Post Insert (NC)

You can then use these codes as part of an exploding code called “Full Denture Treatment” and with one choice from the quick pick treatment plan a denture (phasing out visits).

This is also helpful to be able to see what phase a patient is in through this treatment.

Each of the "A" codes is set to not submit to insurance. Each has a $0 fee attached.

Here is what I’ve set-up doing a Crown.

Service Code A2795; ADA Code D2999 Crown – Preparation

Service Code A2996; ADA Code D2999 Crown – Coping Try-in

Service Code A2997; ADA Code D2999 Crown – Temporary Cementation

Service Code A2998; ADA Code D2999 Crown – Final Bonding/Cementation

I use this format for all other services like bridges (use the same code structure with a A6xxx series) or denture "steps" like wax-ups, try-ins, and even post op adjustments that are not charged. This allows you to use Money finder to search for all crowns prepped but not inserted. Or if the offices do this, all crowns placed with temp cement but never permanently cemented. The best part of this process, it keeps services grouped together (if sorted by ADA code) and you know that all inserts are A_998)
