How Andre Sets Up Service Codes in Eaglesoft
I love consistency when it comes to Service Codes. Seeing office with Service Code descriptions in all caps and some in lowercase drives me nuts. It also pains me to hear an office tell a patient thy are getting a “Composite” but have “Resin” as the Service Code Description.
Remember the Service Code description describes the procedure to THE PATIENT. The ADA code describes the procedure to the INSURANCE CARRIER. The description is what prints on your statement, receipts (“Walkout Statement”/”Smart Invoice”) and treatment plans so they should reflect the procedures as you describe the to your patients. Why not, describe the Procedures the way you do to your patients.
Here is what I suggest:
Substitute “Professional Cleaning” for “Prophylaxis”
Substitute “Image” for “Film”
Go to List > Service Codes. And get editing!
Line 1 [Service Code]: Stop! You cannot change this. Once a Service Code is used it is locked. Period.
Line 2 [ADA Code]: This should be THE ADA code. All ADA Codes start with a “D” and so should, yours. It would be wonderful if the Service Code and The ADA Code were identical but (because service Codes can not be changed) this might not be possible.
Line 3 [Display Abbr]: This is the short description that shows two places. 1) On the schedule IF you include this Service Code in the day’s treatment and 2) on a Quick Pick button in the Chart screen.
Line 4 [Description]: Here I want you to be creative. IT WILL NOT AFFECT INSURANCE PROCESSING. To be sure, check what you have now and compare it with the Current Dental Terminology manual you have on your shelf (or in a drawer someplace). If what you have NOW doesn’t match what’s “In the book” and you’re getting paid, why would modifying it change that.
So, try something like this:
RESIN RESTORATION - ANTERIOR - 1 SURFACE
AMALGAM RESTORATION - 1 SURFACE
INLAY - PORCELAIN/CERAMIC - 3+ SURFACE
CROWN - PORCELAIN TO HN METAL
The beauty of these restorative descriptions is that they are VERY quickly readable on the drop-down choices of the Quick Pick buttons
IMAGING - INTRAORAL - PERIAPICAL 1ST
IMAGING - BITEWINGS – 2
IMAGING - FULL MOUTH DIAGNOSTIC (18)
IMAGING - ORAL / FACIAL IMAGING - 2D
EVALUATION – COMPREHENSIVE
EVALUATION - LIMITED - PROBLEM FOCUSED
Notice that there is no “Exam” that term was eliminated from the CDT as was the word “Surgical” in the Extraction codes.
The rest is up to you, but this is how I Up Service codes.
