How Andre Verifies that Employers are Updated in Eaglesoft
So many Practices ask: How can we indicate that an insurance “breakdown” has been entered or updated in Eaglesoft?
Here is my method:
Bob Smith calls to make an appointment.
He works for Conseco Construction.
Conseco Construction is a new Employers/Coverage Plan with group 01234 in Eaglesoft, so we create it and add a date after the name to indicate the “creation date or last update” (i.e. Conseco Construction 8-24). We enter the Deductible, maximum, percentages for the Service Types, and Employer Notes for Frequencies (more information on this here: https://www.thecrewprocess.com/eaglesoft-blog/employernotes)
The is NO reason to save a “copy of these benefits to Bob’s SmartDoc (more on that later). It might be a great future enhancement to save a Benefit Breakdown to an Employers/Coverage Plan SmartDoc. But that doesn’t exist at this point.
Bob refers his co-worker Fred Jones who also works at Conseco Construction.
We verify that Fred has the same (01234) group at Conseco Construction and his coverage, deductible and maximum (sometime same group number CAN have different benefits) so we connect Fred to the same Conseco Construction plan as Bob.
When you connect Fred to Bob’s Employers/Coverage Plan there is NO need to get a new "breakdown" (you just got it recently). You only need to verify eligibility and verification for Fred.
Now Fred and Bob refer the other 250,000 Conseco Construction employees! There is no need for a breakdown on plan 01234 until Jan of next year when we can get updated benefits and change the date to 1-25 and we're good for 250,000 employees until 12/31/2026. There is also no need to store 250,000 breakdowns in 250,000 patients’ SmartDoc. If you want to note that you verified benefits for a patient in a patient record, I recommend an Insurance Verification Account AutoNote like this template I use:

This is what I call the “Ronald Regan” process: Doveryai, no proveryai (Russian) / Trust, but verify.
What most practices are doing is putting Bob’s Conseco Construction information into Eaglesoft then when Fred calls, they start whole “breakdown” process over again because there is no indication that the work was already done.
So many offices are manually entering an “indicator” in an Appointment block or in the Prefix field. I have seen all manners of manual indicators.
One last thing that I have done in very busy office is add a “No Insurance Can be Verified” Patient Alert for those patients who Insurances cannot be found, but they are coming in “tomorrow”. I flag each patient who I could NOT verify info with a Patient Alert like this (see pic)
