HOW TO ADD A NOTE TO A STATEMENT WHEN POSTING AND EOB IN EAGLESOFT

When you post an Explanation of Benefits (EOB) and there is atypically a “processing notification” (Otherwise known as a denial).  As you post the payment, as usual, I suggest that you write a “Processing Note” in the Notes portion of the Account screen. 

But don’t type it out.

Create an Autonote.  Add Autonotes that correspond to the “processing codes” that the insurance uses.  But re-write it in easy-to-understand patient language.

Example:

You get a denial from XYZ Insurance.  The Denial Code is C25.  You go to Notes > Click Autonotes > Search for “XYZ C25 Denial” and use it into the Account Notes.  Be warned that it will only show in the body of the statement, if the Note is 65 characters (including spaces and characters) or less.

Examples:

Ins Didn’t Pay Due to Deductible: “Because of your DEDUCTIBLE, part of your visit was not covered” (62 characters without quote marks)

Ins Denied Service for Frequency: “Because of FREQUENCY LIMITS part of your visit was not covered” (62 characters without quote marks)

Ins Denied Service for Max Reached: “Because you reached PLAN MAX part of your visit was not covered” (64 characters without quote marks)

Insurance downgraded Composite: “White fillings DENIED by insurance. The balance is yours to pay” (64 characters without quote marks)

Insurance Sent Payment to Patient: “A check was sent to you for service. The amount below is due” (61 characters without quote marks)

Insurance Denied for age: “A claim was denied due to AGE LIMIT. The amount below is due” (60 characters without quote marks)

Insurance Denied for No Coverage Found: “No COVERAGE WAS FOUND FOR YOUR LAST VISIT. Please call us ASAP” (61 characters without quote marks)

But WAIT!  Click the little box that says, “Display note on account statement”.  NOW when your patient receives their statement.  It will show details since the last statement including YOUR note.
