Andre’s Simplified Steps To A Chartless Practice With Eaglesoft

The path to a Chartless Practice begins with each crew member must begin the process with setting up a few things on their own.

 Doctors:

-      Review and finalize their Eaglesoft restorative Autonotes.

-      Review and finalize Prescription Templates (unless using eScribe)

-      Review and organize Restorative Chart Quick Picks

-      Review existing procedure chart drawings.  If the standard drawings do not offer clarity to the Chart screen, the office can create Custom Draw Types to match procedures.

Hygienists:

-      Review and finalize the Eaglesoft hygiene Autonotes.

-      Review and organize Hygiene Chart Quick Picks

 Administrative staff:

-      Review and modify Non-ADA Procedure codes (“Admin Codes” i.e. crown delivery, denture try-in).

-      Review and finalize Eaglesoft Administrative Autonotes.

-      Update ADA Code descriptions to match office description of procedures.

Dental Assistants:

-      Enter all Laboratory information into Eaglesoft’s Lab Tracking.

Here are the simple steps

1)    Get your Autonotes set-up

If moving from Paper records, consider an initial Autonote like:

D0150 or D0120 - Summery Review of paper record: Our records indicate that the patient started in the practice in [year]. He/She has a history of ______________. Recent noteworthy treatments include ______________; their last cleaning with us on [Month/Day/Year]. Today we completed the Periodic Oral evaluation; 4 Bitewings and 2 PA's taken; Oral Cancer Screening revealed ___; We reviewed Medical History _____ changes; Next Visit: ___

 2)    Get your Rx Templates set-up

3)    Make sure your charting matches the way the clinical crew wants to see things.

4)    Make sure the Service code list is "clean" and descriptions are clear.

5)    Make sure that Quick Picks match the flow of posting for the clinical crew

6)    Digitize your Lab Tracking process.

7)    Order LOTS of document scanners (I suggest the Canon CanoScan LiDE models and the Brother DS-640D) to use at key business and clinical workflow areas

8)    Review the Medical History for possible updates. It can be modified using an Eaglesoft Custom Medical History form.

9)    Review options for patient data input like Fast CheckIn or 3rd party options like RevenueWell Forms, Modento, Yapi, OpraDDS or Enlive.

10)  Review the signature pad/Tablet options

11)  Review Eaglesoft Clinical Charting to evaluate if all important information is noted.  If not, your trainer can guide you in creating custom draw types.

12)  Set-up Imaging templates for capturing information in Eaglesoft Advanced Imaging

13)  Schedule an observation ½ day with your trainer PRIOR to your “go live” day

14)  Schedule a minimum of one full day Eaglesoft Clinical Training which would include ½ day of practice training with no patients and at least ½ day of hands on training with patients.

15)  Set up Intellicare

16)  Set up Patient/Medical Alerts

17)  Choose "Go Live" date

18)  Work backwards from the “Go Live” date to get this list done
