How Andre Sets Up Recare Intervals in Eaglesoft

What’s Triggering Recall in Your Practice?

How many ways do you “recall” each patient each year? Typically, one way.  For recare.  Be it for a healthy Prophy or for a Periodontal Maintenance visit. 

There are two ways for Eaglesoft to set a recall “cycle” (example: Every 3, 4, 6, 8 or 12 months).  Depending on the Setup Preference, you can either have Multiple recalls, which allows you to create recall types like “Next Recall”, “pano”, “Bitewings”, etc. and set frequencies for those things (see picture)

or use Recall Frequency based on the Patient Preferences. 

In more than 20 years of teaching practices to use Eaglesoft, there has not been one instance where I found a need to recall a patient for a “pano” or “Bitewings” that didn’t fall within the same recare cycle as the Prophy/Perio Maintenance cycle without using Multiple recalls.  My preference is to uncheck Use Multiple Recall in File>Preferences (se pic)

Using this Preference, you can then set up Service Codes to “trigger” recare.

Example: The office walks out a D1110 and the “recall clock” resets to the Recall Frequency set in the Patient’s Preferences.

This is done by checking the Update Patient Recall within each Service Code you want to “trigger” recall (see pic)

You need to check this box for all Service Codes that you want to trigger recare (i.e. D1110, D1120, D4190).

It’s important that the office adopt a protocol of updating the Patient Preference for Recall. 

Examples:

Recall Frequency 3: Patient is expected to return to your office for recall every 3 months.

Recall Frequency 4: Patient is expected to return to your office for recall every 4 months.

Recall Frequency 6: Patient is expected to return to your office for recall every 8 months.

Recall Frequency 8: Patient is expected to return to your office for recall every 8 months.  This is typically used for Patients who are being seen in your office and being seen in a specialty office, alternately, every 4 months.

Recall Frequency 12: Patient is expected to return to your office for recall every 12 months. This is typically used for Patients who might live part time in another city are being seen in your office and being seen in a different city, alternately, every 6 months.

Can you make the switch from Multiple Recalls to Patient Preference Recalls?

In my experience (hundreds of ES offices) I have switched EVERY ONE of the offices that were using Multiple Recalls to Single. The frequency transferred into the single space. CAN'T GUARANTEE IT. But I do not remember losing recall cycle or if I did, it didn’t make a difference because the office was intent to find new ways to be efficient with the new Patient Preference Recall.
