How Andre Sets Up Single and Group Providers in Eaglesoft

Single Dentist Eaglesoft Setup:

When there is a single dentist in the practice Eaglesoft setup is pretty straight forward. In Lists>Provider / Staff the Dentist is set up the following way:

  • Collections Go To: Self

  • Provider on Insurance: Self

  • In the Provider’s Identification:

    • Check the box for Use Practice Address on Insurance Forms

    • Site ID: Blank

    • Federal Tax ID: [the Dentist’s]

    • License: [the Dentist’s]

    • National Provider ID: [the Dentist’s]

    • DEA Reg. Number: [the Dentist’s]

    • Specialty: [the Dentist’s]

To set up a single Dentist Practice Information go to Lists>Practice Information:

  • Make sure the Practice information is listed properly.

  • Confirm the Practices Federal Tax ID is listed.

Each Hygienist will be set up with

  • Collections Go To: Self (for hygiene Collections tracking)

  • Provider on Insurance: The Dentist

  • The Identification page only needs the Hygienist’s License number.

In this configuration, when processing a dental claim for service, the Dentist’s information will be printed on the claim form.

Just as an FYI:

The Independent Hygienist Taxonomy Code 124Q00000X is classified as: An individual who has completed an accredited dental hygiene education program, and an individual who has been licensed by a state board of dental examiners to provide preventive care services under the supervision of a dentist. Functions that may be legally delegated to the dental hygienist vary based on the needs of the dentist, the educational preparation of the dental hygienist and state dental practice acts and regulations, but always include, at a minimum, scaling and polishing the teeth. To avoid misleading the public, no occupational title other than dental hygienist should be used to describe this dental auxiliary.

Hygienists are not listed on the ADA form as Treating Providers (the doctor who does the exam typically is unless they are in a state with "truly" Independent Hygiene services. Then they could be listed as a Treating Provider.

Group Practice Setup:

When there are multiple dentists in the practice Eaglesoft setup can be trickier. The Provider set up page is almost identical. In Lists>Provider / Staff each Dentist should be set up the following way:

  • Collections Go To: Self (regardless of paying on Collections or Production. This is used as a tracking tool).

  • Provider on Insurance: Self

In each Provider’s Identification the only difference from a Single Dentist set up is:

  • Billing Entity: Use the Corporate Name of the Practice

  • Billing Entity License #: Use the Corporate License number or blank if none

In Lists>Practice Information enter the following:

In the Information tab:

  • Name: Enter the Corporate Name

  • Address: Enter the facility address

  • Federal Tax ID; Enter the Corporate Tax ID

In the Identification tab:

  • National Provider ID (Type 2): Enter the Corporate Type 2 NPI number

  • License: Enter the Corporate License number

  • Check the box “Use Practice NPI (Type 2) on Paper Insurance Claim

In this configuration, when processing a dental claim for service, the Dentist’s information will be printed on the claim form.

** Remember that if the office wants the collection in just one pool but does not want it listed under one doctors name a separate entity can be set up under provider to receive all collections.
