How Andre Adds the D9985 Sales Tax Line Item for State Taxes in Eaglesoft

As of November 2013, three U.S. states, Hawaii, New Mexico, and Minnesota, have imposed a tax on dental services rendered. The ADA introduced Code D9985 SALES TAX on January 1, 2014, to use in jurisdictions that implemented a tax on dental services and required that practices include this code and fee on each claim submission. On January 1, 2020, the state of Minnesota reduced the amount of the MinnesotaCare tax from 2% to 1.8%.

In some jurisdictions, Patients insured by various Tricare and Federal Employees Health Benefits Act ("FEHBA") plans are exempt from the tax.

So, it is clear to the Patient in Walkout and Treatment Planing that this tax is being applied, I have edited the description to:

MINNESOTA 1.8% GENERAL EXCISE TAX [MINCARE]

In Hawaii I use the description:

HAWAII 1.8% GENERAL EXCISE TAX [“GET”]

For New Mexico I use the description:

NEW MEXICO 1.8% GENERAL EXCISE TAX [“GET”]

To use the D9985 in Eaglesoft the only recommendation I can make is to do the following:

- Turn OFF the Bill Standard Fee on Insurance for ALL Employers. This can be done with a Mass Update Employer preference performed with help from the Patterson Technology Center (“Support”).

- Adding this Service Code to your Coverage Books will help you determine if this is a covered service or not.

- In a Walkout, post the D9985 and manually calculate the imposed Tax and enter the amount in the Fee field.

Because your Standard Fee for this code is $0, you will be getting the following warning:

Click OK to continue your normal Walkout.  Your final claim will look like the sample claim form below.
