How Andre shows 2 Appointments on the same day and how I Walk Out one without BOTH turning gray

Sometimes a Patient will have an appointment scheduled with the doctor and a second in the Hygiene chair.  There are two issues that come up when this happens.

1.    How can you “see” that there are two Appointments?

2.    How do you want them out so that they both don’t “turn gray” at the same time? 

Let’s start with visualizing two Appointments.  The easiest way I have found to visualize this is to use the Prefix field in the Edit Appointment screen (see picture below). 

By entering “---” you will get <---> showing on the schedule.  I use this symbol to mean that the Patient is going “back and forth” between both chairs (see picture below).  The Prefix will always show before any other information in the Appointment block.

The second issue that occurs with two Appointments on he same day is that if you Walk Out the first set of Services, both appointment show as Walked Out (“gray”) on the schedule.  How can you address this issue?

What I have found the best workaround is to “pin” the first services to the taskbar until the second set of services are complete. What does that mean? Well, there are two methods:

1) Hold till Complete:
Say the Patient see the Doctor first. The Doctor Post to Walkout the services and they get "pinned" for a future Walkout (the schedule won't turn grey). Second, the Patient goes into the hygiene chair and has treatment. When complete, the Hygienist Post to Walkout the Services they did. Third, the Patient comes to the Business area and the Administrative person opens the Account, reviews any Notes or previous transactions, and clicks the Walkout tab. The "Posted to Walkout services" from both Providers will show with checks, they click Use Selected Services and complete the walkout. BOTH appointments will turn grey at that point.  Add any co-pay using the Add Payment button.  One Walkout. One Payment. One Receipt. No issue. One Insurance Claim.

2) Post one than the other:

Say the Patient see the Doctor first. The Doctor Post to Walkout the services and they get "pinned" for a future Walkout (the schedule won't turn grey). At this point the Administrative person opens the Account, reviews any Notes or previous transactions, and clicks the Walkout tab. The "Posted to Walkout services" from the Doctor will show with checks, they click Use Selected Services.  At this point the Account can be minimized.  Not closed. No Processed.  Just minimized to the taskbar. Now, the Patient goes into the hygiene chair and has treatment. When complete, the Hygienist Post to Walkout the Services they did. The Patient comes to the Business area and the Administrative person bring the minimized Account back up from the taskbar and clicks the Add Tx Item button. The "Posted to Walkout services" from the Hygienist will be checked, they click Use Selected Services and complete the walkout. BOTH appointments will turn grey at that point.  Add any co-pay using the Add Payment button.  One Walkout. One Payment. One Receipt. No issue. One Insurance Claim.

After the first provider is done, you can right click on the first Appointment block and mark that Appointment as Walked out, turning it grey while the second stays in color until the final Walkout is complete.
