How Andre Sets Up Employer Notes For Frequencies And Exclusions In Eaglesoft

Does this happen in your office?

At the Front desk, you hear the glove come off (such a distinctive sound).

You hear the Hygienist say: “let me find out”.

Then you hear footsteps approaching..

Then you hear: “Can Sally have 2 cleaning per year or is it every 6 months to the day?”

Why does this happen? Why do the Clinical Crew members have to come to the front to find information that is available at their fingertips in the clinical view of Eaglesoft?

Maybe it’s because of where the answers to their questions are “hidden” behind multiple clicks.

Is the answer written in the Patient Memo? Is it in the Recall Notes field of the Edit Patient Screen? Is it saved as a scanned document in SmartDoc?

Why not just put the answers in the Employer Notes, so the info is accessible from the Chart? Within the Clinical Chart, there is an insurance button on the right side where you can see all the Employer notes entered by the Administrative Crew. (see pic)

Some offices will ask me: “Why shouldn’t I put the insurance breakdown in the Patient Memo, the Patient Notes, the Patient SmartDoc, or the Patient Recall Notes?

So, let’s say one of your Patient, Bob Smith works at ABC Construction, insured by United Accordion and has a Group number of 987654-0001. A breakdown of coverage for “ABC Construction Group 987654-0001 from United Accordion” is stored in THAT Patient’s Memo, Notes, SmartDoc, or Recall Notes.

Now his friend Sam, who also works with at ABC Construction becomes a Patient. Should the office repeat the process of putting the breakdown in Sam’s Memo, Notes, SmartDoc, or Recall Notes OR wouldn’t it be productive if you enter the insurance breakdown into the Employer (ABC Construction) and shared with Bob, Sam and anyone else who presents with the same group number. Take your largest Employer in your area and think how many times that process have been duplicated. This is NOT information about Patient eligibility for treatment like last FMX or a Prior placement date. This is plan specific (not Patient specific) information.

Employer Notes can be seen in the Account/Walkout screen using the “Umbrella” icon. Clicking the ”umbrella” will bring up the same window shown in the Chart screen above.

There is a 6,245 Character Limit.
